The Sales Coordinator is responsible assisting the Sales Department including Sales Directors and Sales Counselors.  The Sales coordinator is the C3 Administrator as well as the Docusign Administrator.   Sales Coordinator will maintain certain information in the JD Edwards (“AS400”).  The Sales Coordinator will work closely with the Directors of Sales to ensure that all communities and sales counselors have the tools and resources to do their jobs effectively.

Acceptance of Sales Process:
- Manage the Acceptance of Sales Process ensuring the proper paperwork is submitted to escrow to help achieve the weekly sales goals
- Update Sales tracker daily and distribute
- Work with sales team to encourage timely and complete submissions
Marketing Duties:
- Update the KB Home website with current pricing, create and add QMI’s and manage Sales Office Hours
- C3 vs. Traffic Report to Sales and Marketing management
Administrative Duties: Assist Sales Management
- E-time – track and store all corrections for every agent
- Weekly MLS Audit – conduct MLS search for listings/open houses to ensure quality information entered by sales team
- Quarterly Sales Agent’s goal to Actual Sales tracking
- Mystery Shop tracking per sales agent
- Set up vendors, process invoices and check requests
- Order Temps for vacation and sick days
- Track internal sales contests and bonus submissions
- Assist with sales meeting preparations, food, handouts, venue, activities etc.
Preparation and Distribution of Reports
- Weekly C3 reports to sales team to assist with compliance
- Weekly Sales Tracker updating daily to Sales Management
- End of week sales report to senior management
- Quarterly Sales and Traffic report input for corporate report
- Temp Agent Report
- BIA Sales Report – submitting sales numbers to BIA
Sales Team Support
- Complete quarterly Addendum B sales goals
- Order KB Wear, track vacations, complete expense reports and order supplies weekly
- New Hire Training for reporting and Fastrac
- New Community Start Up- ZT meetings, supplies, PDR and tax disclosure orders
- set up catering for broker events and ZT meetings
C3 and Docusign Driver and Lead:
- Provide field support for the sales team and leadership for C3 and Docusign
- Template contract and related documents to community templates
- Update C3 with Sales Counselor’s assignments
- Monitors certain key data points such as backlog and sales person phone appointments and works with sales person or sales leader to resolve any related issues

Lender Liaison:
- Maintain and update community trackers on a weekly basis focusing on loan doc date for homes that will close within 60 days and if doc dates change and loan approval updates, lender to provide reason for delay.
- Coordinate with escrow to obtain ratified documents to send to lender
- Maintain clear communication with sales agents providing tracker updates for weekly status calls
- In Condo Communities provide lenders with HOA documents and completed Certs for Condo Project Approval

EDUCATION/EXPERIENCE/MINIMUM REQUIREMENTS:
Education/Certifications/Licenses Bachelor’s degree recommended
Experience  1-2  Years minimum of related experience
Knowledge, Skills & Abilities
• Homebuilding software experience (e.g., JD Edwards/ Constellation/Newstar/FAST/Buildsoft/Builder 360),
• Strong technical and analytical skills
• Excellent oral and written communication skills
• Must be proficient in Microsoft Office (at least intermediate level)
• Strong organizational skills
• Market analysis experience a plus
