JOB SUMMARY:     Under direct supervision, performs duties necessary for processing commissions, preparing bills, invoices, statements and vouchers for payment. This position also assists with data entry, starts and IFPO authorizations.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Direct Cost Review:  Review all house cost budgets prior to start ensuring budgets are adequate and reasonable.  Follow-up with Purchasing on any unusual items.
  • Field Purchase Orders: Review and approve all field purchase orders submitted by the other departments. Follow-up with other departments on any unusual items.
  • Utilities Management for Communities: Cancel utilities for closed homes, research high bills with RCM and call for a re-read for the different Utility Company’ s in SA. Approve Utility bills that have not hit slab or have a buyer on them that are less than $1,000. Process refund checks we get from utility companies.
  • Accounts Payable: Reconcile invoices against internal records while following up with service providers on discrepancies; code invoices and submit to accounting services for processing in a timely manner. Deposits:  Code and deposit all checks and money orders received by the Division.
  • Commissions: Process all commissions for the SA Sales Team (slab advances/draws/commission reconciliation):  Answer questions from sales team and run /interpret commission reports. 15%
  • Maintain Budgets: Update budgets in AS 4000 including individual plan sales prices and house costs.  Update Excel gross margin reports including plan frequency and direct cost budgets. Input price increases into KB pricing. Runs multiple weekly, monthly and quarterly fixed cost budget reports for management’s review.
  • Filing: Create and maintain vendor files.
  • Miscellaneous: Perform other duties as assigned. For example, update Model Alarm Report and request payment for new or expired permits. Update Model and Sales office list for customer service for invoices that have for any model. Process HOA billing and update HOA spreadsheet with additional communities, assessment changes, fee changes, etc.

EDUCATION/EXPERIENCE/MINIMUM REQUIREMENTS:
Education/Certifications/Licenses      
High school education or equivalent required.
Bachelor’s Degree preferred

Experience 
Minimum of one year bookkeeping experience.  
Customer service experience preferred.

Proficient knowledge of Microsoft Office suite including Word, Excel, PowerPoint and Outlook

Work Requirements 
Must work 8-hour days (during core business hours) with flexibility for overtime when necessary
Must conduct business in a professional and ethical manner to potential buyers, external business associates and coworkers to reinforce goodwill and profitability for the company.
