JOB SUMMARY:     The Office Administrator is responsible for coordinating office operations, payroll, leaves of absences, performance review collection and preparing invoices for payment.  Uses QuickBooks to compile monthly reporting and statements to Divisions and NAPA for KB Architecture services to Divisions. Provides administrative support to the SVP and VP of Builder Services and assists HR with coordinating, tracking, reporting and monitoring various personnel related tasks.

Payroll:
• Collects and tracks information in order to administer the payroll processes for the Builder Services group. Reviews information, ensures all approvals are obtained and submits to Corporate Payroll for processing.
•  Enters and tracks eTime entries in connection with payroll processes.  Works directly with employees and managers in regard to e-time entries, edits, or corrections. Processes all Requests for Time-Off (RTOs) and tracks hours for non-exempt employees. Other payroll duties include:
o Submit PCNs on status changes – process new hires, terminations, lateral changes, promotions,
o Audit payroll register and resolve issues timely, distribute paychecks
o Track taxability of prizes and gift cards and report appropriately to payroll
o Submit time-off requests to payroll
o Generate eTime reports semi-monthly and monthly for managers.
KB Architecture Billing to Divisions:
• Input timesheets for Production and Design teams, invoices for outsourced labor, and delivery services into QuickBooks.  Compile monthly report for review by Directors.  Generate monthly Statements to Divisions with breakdown of services provided by KB Architecture.  Report monthly charges to NAPA.

Facilities Management:
• Responsible for facilities management issues such as office supply orders, building repairs, space planning, office maintenance, office equipment leases, department events and office moves.  Coordinates with I.T. on equipment maintenance and ongoing needs of team members.
• Main point of contact for Landlord
• Main point of contact for messenger/courier services and non-builder vendors.
• Assists with updating the emergency response plan for division(s) and ensures that it is communicated to all employees. 
• Main point of contact for KB Risk Management Department.  Updates/posts Regulatory/Labor posters for assigned location(s).
HR Support:
• Coordinates the approval process for headcount requests and/or changes.
• Assist with onboarding of new employees. 
• Requests and coordinates temporary staffing needs.

• Works closely with staffing vendor/recruiter to guide applicants through the employment application and interview process.  Coordinates and/or conducts pre-employment testing with applicants.
• Generates offer letters and conducts new hire orientations either in-person or via conference calls. Complete new hire kits with updated payroll tax forms, review new hire forms for completion and submit to Payroll Department.

• Assist with the tracking function and organization of various HR projects: Org Charts, Job descriptions, Performance Reviews, KBU certifications.

• Process paperwork and input data regarding Family Medical Leave and Worker’s Comp administration. 

• Coordinates the Leave of Absence (LOAs) & Worker’s Compensation processes with client group and Corporate HR. Will discuss procedures with employees and administer/collect/track proper documentation.

• Responds to general inquiries from employees regarding benefits, payroll or personnel policies.

• Facilitates exit interviews with departing employees. Executes the Off-boarding process with employees including document and equipment collection and obtains final checks through payroll.
Invoices:
• Submits, tracks, and files purchase orders, codes invoices for processing and expense reports for the Architecture office. 
Executive Assistance:
• Schedules management’s meetings, screens incoming phone calls, arranges travel, prepares expense reports and makes photocopies.
• Compiles information and prepares a variety of drafts and finished documents including schedules, presentations, charts, graphics, tables and reports.
• Performs other duties as needed.


EDUCATION/EXPERIENCE/MINIMUM REQUIREMENTS:

Education/Certifications/Licenses     
High Degree required
Bachelor’s Degree preferred

Experience
3-5 years of office management or executive assistant experience
1-2 years prior human resources or payroll experience preferred

• Proficient in QuickBooks
• Strong verbal and written communication skills
• Attention to detail and highly organized
• Exceptional interpersonal skills - ability to build relationships, establish trust, and maintain neutrality
• Strong ability to work within a team-setting, inclusive of other’s ideas, motivates others
• Excellent organizational and project management skills
• Proficient in computer applications, including the MSOffice suite
• Proven ability in being results oriented

Work Requirements
• Possibility of occasional travel to other division office/studio locations as needed.
• Work 8-hour days with flexibility for overtime when necessary.
• Conduct business in a professional and ethical manner to potential buyers, trade partners, and coworkers to reinforce goodwill and profitability for the company
