JOB SUMMARY: The DUP Coordinator serves as the central point of communication between Sales, Construction, Mortgage and Title. The position is fast-paced and fluid, requiring organization, accuracy, strong communication skills and the ability to make quick decisions based on policy and real estate knowledge.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Initiate all escrow starts:
  • Review all Contract packages for assigned Communities for accuracy; confirming all documents are completed and executed legally; managing any corrections needed; signing and sending to Broker for signature within ADRE timelines.
  • Organize each sale for assigned Communities in KB programs; monitoring the information in the Weekly Sales Report from Sale to Acceptance; add pertinent information into HB-1 and Web Mylar, both accurate and timely, to “confirm” the sale.  
Assist in the maintenance of all escrows in backlog through to COE:
  • Maintain KBHS/Outside Lender communication: obtaining proof of Buyer’s loan application and conditional loan approval within timelines; providing all required documents for Lender to keep the loan processing on track; updating the Lender on construction status to order the appraisal and confirm loan lock.
  • Maintain FATCO/Title Company communication : providing all required documents needed for Title to stay on track; updating Title on the Construction closing timeline and assisting to keep the Lender on track for closing escrow; reviewing the ALTA for accuracy.
  • Troubleshooting questions from Sales, Construction, Lender and Title on status / progress of each Sale/Closing for assigned Communities and communicating any issues that should be elevated to the DUP Manager.
Close of escrow:
  • Communicate with Construction on the readiness of the home for appraisal, final appraisal, New Home Orientation and Sign Off. 
  • Confirm with the Lender that both the appraisal and final appraisal are complete, any necessary documents are in-hand from both KB and Title and that loan documents are at Title in advance of closing escrow. 
  • Assist Title in coordinating the Lender and final Sign Off with the Title signing date.
EDUCATION/EXPERIENCE/MINIMUM REQUIREMENTS:

Education:  
  • Minimum of a high school education; Bachelor’s degree preferred; Arizona Real Estate License preferred.
Experience:  
  • 1 year of Home Builder and/or Sales/Escrow experience.
Knowledge, Skills & Abilities:
  • Exceptional organizational capability, including the ability to multi-task.
  • Strong people skills, including the capability to handle various personalities and develop professional relationships.
  • Action oriented, with the drive to push projects and tasks to successful closure.
  • Proven ability of being customer centric by seeking solutions from the customer’s perspective.
  • Strong verbal & written communication, with the ability to take complex concepts and communicate accurately and persuasively.
  • Strong ability to work within a team-setting, inclusive of other’s ideas, and a willingness to cooperate.
  • Makes quick and accurate decisions based heavily on facts, data and/or metrics.
  • Proficient in Microsoft applications, including Word, Excel, PowerPoint, and Outlook.  
Work Requirements: 
  • Work 8-hour days with flexibility for overtime when necessary.
  • Hybrid schedule (WFO/WFH) after training period.
  • Conduct business in a professional and ethical manner to internal and external customers to reinforce goodwill and profitability for the company.
